| What is the Campus Visitors Appointment Scheduling System (CVASS)? | The CAMPUS Visitors Appointment Scheduling System (CVASS) is an online system that will enable the PUPSRC Clients and Visitors to request for an appointment prior to going to the University. |
| What are the requirements to use the CVASS? | •A working computer or mobile phone with internet access •A web browser •A valid and active email address to receive notifications |
| When is the implementation of CVASS? | On March 22, 2021, all PUPSRC Clients and Visitors are required to have an approved appointment prior to going to PUPSRC Campus. Starting today, you may request for an appointment online to different Offices. |

| Who can request for an appointment? | All PUPSRC Clients and Visitors must request an appointment. The PUPSRC Clients and Visitors include: • PUPSRC Students • PUPSRC Alumni • Students from other Universities/Colleges/Schools. • Parents/Relatives/Guardians of PUPSRC Students/Alumni • Company Representatives • General Public |
| How does the CVASS work? | Appointment Request Process for PUPSRC Clients and Visitors: 1. To obtain an appointment ticket code, contact the specific office through this link: bit.ly/cvasscontactv1 2. Visit bit.ly/cvass2021v2 3. Schedule your appointment using the obtained ticket code. 4. Submit your appointment request and await email confirmation. 5. Confirmation of your request will be sent to your registered email address. Additionally, you can continuously monitor the status of your request through this link: bit.ly/3nEJCXk 6. If your request is approved, the status of your appointment will be listed as “Approved.” 7. Upon arrival, answer the Health Declaration Form located at the entrance. 8. Present your Email Confirmation/Gate Pass and a valid ID to the PUPSRC Security Personnel. Please note: You will not be allowed to enter the University premises without an Email Confirmation/Gate Pass. 9. For inquiries, please send an email to cvass.pupsrc@gmail.com. |
| What should I do if I am already in the PUPSRC gate and I do not have an appointment request? | If you arrive at the PUPSRC gate without a scheduled appointment, you will not be allowed to enter. Please ensure you have a confirmed appointment before visiting. |
| What should I do if my appointment request was disapproved? | If your appointment request is denied, you can submit a new request. The College/Office administrator will assist you in scheduling a suitable time. |
| Do I need to print the Email Confirmation/Gate Pass? | You can show your digital Email Confirmation/Gate Pass and valid ID to the PUPSRC Security Personnel. Printing is not required. |
| Am I allowed to bring a companion? | Only the individual who requested the appointment is allowed to enter the PUPSRC premises. If your companion needs to conduct business, they must request their own appointment through CVASS. |
| What should I do if I was not able to show up on my scheduled appointment date? | If you miss your appointment, you can reschedule. Please note that missed appointments are discouraged. |
| Can I schedule appointments with multiple colleges/offices on the same date?? | Absolutely! We encourage you to request a single appointment date for all your university needs. This saves you time and ensures a smooth visit. |
| Do I need an email address to schedule an appointment? | Yes, a valid and active email address is required. Appointment confirmations and important updates will be sent to this address. |
| Can I explore the campus after my appointment? | Currently, visitors are required to leave the university premises immediately after their transaction. This helps us maintain a safe and efficient environment. |
| Can I schedule an appointment for a friend or relative using my email? | For security reasons, each visitor needs to register and request an appointment using their own email address. We recommend they create their own account for a smooth appointment process. |
| What if I don’t receive an email confirmation for my appointment request? | First, double-check that you’re using the same email address you registered with. The email might also be in your Spam/Junk folder. You can also track your appointment status here: bit.ly/3nEJCXk |
| I received notification that my document is ready, do I still need an appointment? | Yes, appointments are required to claim documents from the OUR or ODRS. The concerned office will provide your appointment ticket upon confirmation. |
| Do faculty and staff need to schedule appointments for official university transactions? | No, the CVASS system is for external clients only. Employees and faculty can proceed directly to the relevant department for their transactions. |
| Can I arrive early or late for my appointment? | We recommend arriving 15 minutes early. All visitors will be subject to health protocols before entering campus. Late arrivals may not be accommodated. |
| Can I schedule an appointment on the same day? | No, appointments must be requested at least one day before your desired date. |
| What happens if I can’t complete the Health Declaration Form? | Unfortunately, you won’t be allowed on campus without a completed Health Declaration Form. |
| What if I have COVID-19 symptoms on my appointment day? | If you experience any symptoms, please self-isolate and contact your doctor or local health department. Do not come to campus. |
| Can I update the Health Declaration Form? | Yes, you can update the form anytime before entering campus. |
| What if I can’t download my email confirmation? | Having a downloaded email confirmation or gate pass is mandatory for entry. You can download or save it anytime before your appointment. |
| What happens if my appointment is on a non-working day? | Don’t worry, appointments on non-working days are automatically rescheduled. Check your updated schedule at bit.ly/3nEJCXk |
| Should I contact the College/Office/Official before scheduling? | We encourage contacting your desired department by phone or email first whenever possible to minimize unnecessary trips to campus. Schedule an appointment only if absolutely necessary. |
